Target hiring range for this position will be between $49,850-$62,959 per year. Offered salary will be determined by the applicant’s education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

The Department of Medical Social Sciences at Northwestern University Feinberg School of Medicine is innovative, collegial, collaborative, inclusive and highly committed to team science. We are dedicated to leveraging the social sciences to develop and implement innovations to transform health and healthcare equitably.  MSS has grown to roughly 300 faculty and staff in its 15 year history and we are hiring an HR Program Coordinator to serve on a team providing administrative and operations support to the department.  The HR Program Coordinator will coordinate HR operations for the department.  

The ideal candidate is highly organized, has impeccable follow-through, is proactive by nature, strives to provide superb customer service, is adept at working well with faculty and staff at all levels of the department, and thrives in a dynamic, fast-paced, and ambitious environment with a collaborative and mission-driven culture.  We are seeking someone with supervisory experience and excellent skills in organization, time management, oral and written communication, as well as someone with a team player attitude, a desire for continuous learning, and enthusiasm for growing their skills.  

Responsibilities include but are not limited to managing processes for posting job openings and position management (new staff hire requests, temp hire requests, bringing on volunteers and interns, and terminations), supporting team preparation for staff and faculty onboarding and offboarding, coordinating visa sponsorships, providing guidance to department members regarding NU policy including workplace strategies, accommodations, etc., supporting hiring managers during recruitment, and other duties as assigned.  

Job Summary:

Provides management for an education, research &/or operations program/project, recommending goals, assessing feasibility and ongoing performance & providing day-to-day oversight of administrative & operational functions.

Specific Responsibilities:

Administration

  • Manages day to day operations.
  • Ensures that program/project mission, values, guidelines, policies & procedures are implemented & maintained. 
  • Reviews processes and recommends changes 
  • Identifies service improvement opportunities that will better enable program/project to achieve its goals and objectives. 

Human Resources

  • Ensures human resources programs, policies, & procedures are implemented & consistently applied. 
  • Coordinates all or portions of the talent management lifecycle (sourcing, selecting, developing, coaching, rewarding, recognizing, managing information & optimizing talent.) 
  • In consultation with management & Central HR, administers HR solutions. 
  • Maintains excellent working relationship with Office of Human Resources.

Supervision

  • Supervises 1-2 staff &/or provides work direction.

Miscellaneous 

Performs other duties as assigned.

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
  • 1 year program/project administration or other relevant experience.

  • Strong proficiency with human resources principles and best practices
  • Excellent proficiency in Microsoft 365 and Zoom, 
  • Excellent organizational and time management skills with strong attention to detail and strong follow-through
  • Strong oral and written communication skills
  • Demonstrated ability to manage multiple priorities with competing deadlines in a dynamic environment
  • Ability to take initiative, think analytically, and carry out complex problem solving and planning
  • Excellent interpersonal skills and a commitment to delivering best-in-class customer service.
  • Strong and eager team player with demonstrated ability to build and maintain positive working relationships with people at all levels of the organization
  • Ability to work independently and is a strong self-motivator who takes initiative and ownership

Preferred Qualifications: 

  • Master’s degree in human resources or other related field
